HVAC Conversion Tracking: Connect Google Ads to Booked Jobs
HVAC conversion tracking should connect advertising with serviceable leads, booked visits and completed jobs. A phone-button click is useful diagnostic information, but it does not establish that a homeowner spoke to your office. US contractors need a shared definition of each stage before using conversion totals to make budget decisions.
Define the stages before connecting software
Agree on what qualifies as an inquiry, a qualified lead, a booking and a completed job. A practical qualified lead has a supported service need, a serviceable address and a usable contact method. A booking requires a confirmed appointment, not simply a submitted form.
Keep these stages separate in the CRM. Record cancellations, duplicates and existing customers consistently. Otherwise, an advertising report can appear to improve simply because the office changed how it labels calls.
Build a minimum tracking record
| Record | Purpose |
|---|---|
| Unique lead ID | Connect the inquiry to later outcomes |
| Source and campaign, when available | Identify the acquisition route |
| Received and stage-change times | Measure response and sales-cycle delay |
| Service type and serviceability | Explain differences in lead quality |
| Booked, completed and paid status | Separate pipeline from realized results |
Avoid putting names, email addresses or phone numbers into page URLs or ordinary analytics event labels. Google's guidance on personally identifiable information explains why URL and measurement design need care. Your CRM can retain operational records under an appropriate access policy without exposing them in analytics.
Import useful offline outcomes
Where your setup and permissions support it, pass qualified or converted lead outcomes back to Google Ads through the supported integration. Google's offline conversion documentation describes how later business outcomes can be attributed to ad interactions and recommends enhanced conversions for leads for new implementations.
Check the current Data Manager and integration requirements rather than copying an old API tutorial. The implementation should preserve the correct identifiers, event times and deduplication keys. A successful upload message is not enough if the CRM stage was wrong.
Choose the bidding signal deliberately
Do not make every click, form submission and booked job an equally important campaign goal. Use the most meaningful, reliable stage that provides enough timely data for the campaign. Keep supporting events available for diagnosis while preventing accidental double counting in your main success metric.
When moving from form leads to qualified leads, document the change. Compare reports using the same definitions, and allow for the time it takes a lead to become a completed job. A recent week can look weaker simply because its appointments have not happened yet.
Test a complete example
Create one clearly labeled test inquiry, verify the source, move it through the intended stages and inspect the integration result. Make sure testing records cannot contaminate production revenue reporting. Then compare a small sample of real records with the office's booking log, using authorized access.
Is call duration enough to identify a qualified lead?
No. Duration can help screen calls, but a long wrong-number or supplier call is still not a sales opportunity. Use disposition data when available.
Why do Google Ads and CRM totals differ?
Attribution rules, timing, duplicate handling, missing identifiers and stage definitions can all contribute. Reconcile the definitions before assuming either system is broken.
